Overview:

Under the general supervision of the Deputy Commissioner of Property Management or their designee, the Events Logistics and Support (ELS) Coordinator supports the ELS Manager and provides logistical support for all internal and external functions and events on behalf of the Property Management Department at City Hall, Faneuil Hall, the City Hall Civic Pavilion, and other locations as assigned.

The mission of the City of Boston Property Management Department (PMD) is to manage, maintain, repair, and provide security for the City's municipal buildings, including City Hall and Faneuil Hall; to preserve the valuable life of City facilities and reduce operating costs through effective preventative maintenance measures.

Responsibilities:

  • Supports scheduled events at City Hall, Faneuil Hall, the City Hall Civic Pavilion, and locations as assigned.
  • Serves as the primary backup for the ELS Manager.
  • Liaises with constituents, community members, external event organizers, and other individuals or groups interested in holding events on properties under the jurisdiction of PMD.
  • Coordinates with internal and external event coordinators to ensure that events are successful and that PMD and COB interests are protected.
  • Reviews security, custodial, and electrician work plans supporting events held on properties under PMD care and control.
  • Liaises with the following departments and organizations in the coordination and execution of successful events: BPD, BFD, ISD, Licencing, Special Events, Arts and Culture, Mayor's Office, various State agencies, and other groups as assigned.
  • Ensures compliance with COB and PMD policies and procedures related to City-owned spaces.
  • Participates in the preparation of estimates and itemized bills for reimbursement and fees related to events.
  • Supports the preparation of payroll documentation for staff assigned to events.
  • Participates in the preparation of regular reports and schedules for distribution to internal and external stakeholders.
  • Supports and contributes to an online database with copies of all site plans, mobilization schedules, permits, and all approvals for Property Management review and online access.
  • Participates in the COB Special Events Committee.
  • With appropriate supervision and authorization, issues special event permits on behalf of PMD.
  • Supports the management of PMD's Event Application Process.
  • Supports the management of the PMD Events Calendar.
  • Performs Departmental administrative duties for the Commissioner, Deputy Commissioner, or their designee.
  • Performs related duties as required.

Minimum Entrance Qualifications:

  • A High School Diploma or equivalent is required. A Bachelor’s Degree is preferred and may be substituted for up to two (2) years of experience.
  • Three (3) years of experience in special events management, planning, logistics, or a related field preferred.
  • Must be available to work evenings and weekends or a non-traditional schedule.
  • Knowledge of the COB processes and procedures related to special event applications, permits, and licenses is preferred.
  • Ability to exercise sound judgment and focus on details as required by the job.
  • Knowledge of successfully creating and navigating organizational structure, workflows, and operating procedures.
  • Skill in organizing resources and establishing priorities.
  • Ability to travel throughout multiple facilities as required.
  • Strong interpersonal skills.
  • Strong analytical and problem-solving skills.
  • Must be able to meet deadlines and complete tasks quickly and efficiently.
  • Strong written and verbal communication skills.
  • Proficient with Microsoft Office, Google Suite software, and various web applications.
  • Must have and maintain a valid Massachusetts Driver’s License.
