Overview:

We are seeking a highly organized and detail-oriented Training Coordinator to support the Department of Innovation and Technology training program in a variety of subject areas, including our newly launched Bostonia Academy. Bostonia Academy is the home for data & analytics related trainings for city staff, and launched this year with a slate of 16 process improvement trainings planned for 2024. The Training Coordinator will play a critical role in managing the logistical aspects of our training programs, ensuring seamless delivery and maximizing participant engagement. This role will involve scheduling training sessions, registering participants, communicating with participants' managers, and handling all administrative tasks related to the various training programs.

Responsibilities:

  • Schedule and coordinate training sessions, ensuring adequate space, equipment, and materials are available.
  • Manage participant registration, including collecting and verifying attendee information, ensuring compliance with any necessary approvals or prerequisites.
  • Host workshops and training opportunities internally and externally.
  • Communicate with participants' managers regarding attendance requirements, training schedules, and any relevant information.
  • Gather and disseminate training materials, including presentations, handouts, and online resources.
  • Oversee the setup and breakdown of training venues, ensuring a comfortable and conducive learning environment.
  • Liaise with external training providers or vendors to coordinate and manage outsourced training sessions.
  • Track attendance and participation data, generating reports and analyzing trends to evaluate training effectiveness.
  • Maintain records of training participants, including attendance records, feedback, and any relevant documentation. Administer and maintain training databases and systems.
  • Assist in developing and evaluating training programs, providing feedback to instructors and course developers.
  • Adapt to changing training needs and requirements, ensuring the training academy remains responsive to the evolving data analytics landscape.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Perform other duties as assigned.

Minimum Entrance Qualifications:

  • Bachelor's degree in Training and Development, Education, or a related field.
  • Two plus (2+) years of experience in training coordination or a similar role, preferably within the education or corporate training sector.
  • Proven ability to manage complex schedules, organize information, and maintain accurate records.
  • Excellent communication and interpersonal skills, adept at interacting with internal and external stakeholders.
  • Proficient in Microsoft Office Suite and experience with online learning platforms or training management systems.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
  • Knowledge of the data analytics field and an understanding of relevant training topics.
  • Familiarity with online learning tools and platforms.
  • Experience in managing virtual training sessions.
  • Strong project management skills to oversee the planning, implementation, and evaluation of training programs.
  • Ability to exercise good judgment and focus on detail as required by the job.
